Four modules, one single view of the rooms
Front desk & folios
14-night room rack, check-in with ID, multiple folios with extras and transfers, zero-balance check-out and a night audit that posts room nights and city tax, with a frozen daily report.
Housekeeping
Clean, Dirty, Inspected, Out of order statuses, floor view with arrivals and departures; daily tasks generated without duplicates and shared between room attendants.
Maintenance & engineering
Work orders by status, priority and technician, photos, cost; a room can be blocked during the job and goes back to “dirty” when it is closed.
Locks & keys
Encode, duplicate and revoke cards from the front desk, through the Otelvya encoder bridge installed on the front-desk computer; automatic revocation at check-out.
In practice
What flows from one department to the next
No double entry between the front desk, the floors and engineering: each action updates what the others see.
- At check-out, the room becomes “dirty” and its keys are revoked
- A fault reported from the Teams app creates a maintenance work order
- A room blocked for works is no longer sold while the work order is open
- The night audit refuses to close while arrivals or departures are pending
Good to know
- Manufacturer locks: each brand requires an agreement and the vendor's development kit. Until an integration is activated, Otelvya encodes no card for that brand and says so clearly.
- Mobile keys: not available today.
- Out of order: this housekeeping status does not close sales on its own; a blocking work order or a reduced allotment does.
- Teams app: installable on phones, without an app store, for housekeeping and engineering.
FAQ
Your questions
Do I need to install software at the front desk?
Not for the front desk, housekeeping or maintenance: everything runs in the browser. Only card encoding uses a small bridge installed on the computer connected to the encoder, which opens no port.
Can I use housekeeping only?
Housekeeping is part of the core of every plan. Front desk & folios, maintenance and locks are add-on modules, enabled property by property.
